Reporting COVID-19 Vaccines Administered to WIR

The following is a message from the Wisconsin Immunization Program.


We are preparing for the potential of a safe and effective COVID-19 vaccine response in the state of Wisconsin. While there are still many unknowns about the timeline of a safe and effective COVID-19 vaccine response, we encourage you to join us in preparing for it. Organizations will be required to report, in a timely manner, administered COVID-19 vaccines to the Wisconsin Immunization Registry (WIR). This reporting is important for tracking vaccines administered across the state.

If you are not already able to meet this requirement and report administered doses to WIR, please start planning for it now as there is currently a waiting list for onboarding.

Uncertain if your organization provides data to WIR?

  • Check with staff that administer and document immunizations to see if they are familiar with how vaccines are reported to WIR.
  • Ask your electronic health record (EHR) help desk or technical staff about the process.

How can my organization report vaccines administered to WIR?

There are two ways that data can be submitted to WIR:

1) Data entry through the web-based user interface
2) Through a data interface where EHR systems can be configured to automatically send data to WIR

Note: Data submitted through the second option takes more effort to set up initially, but will make it easier and faster for your staff to keep up-to-date immunization records.

Note: On-boarding can be a lengthy process and there is currently a waiting list, so you are encouraged to act now to be ready when COVID-19 vaccine becomes available.

Guidance for Safely Vaccinating at Off-Site Locations

CDC has issued revised Guidance for Planning Vaccination Clinics Held at Satellite, Temporary, or Off-Site Locations. The purpose of the guidance is to assist with planning and implementation of satellite, temporary, or off-site vaccination clinics by public and private vaccination organizations.
The guidance is broken down into four categories:

The guidance also includes information on additional considerations that are required during the COVID-19 pandemic, including physical distancing, personal protective equipment (PPE), and enhanced sanitation efforts.

We expect additional materials will be added to these pages, including a supply list and additional curbside and drive-through clinic guidance.
